About the role
We are on the hunt for a hard-working and hungry individual to join our team on a full-time, permanent basis as our Executive Assistant. You will be primarily responsible for supporting the CEO, with Exec team support required and office management duties on an ad hoc basis.
As the Executive Assistant you’ll be the powerhouse behind the CEO, supporting a range of different work threads - this role truly has no limits. You will also be active in the wider Executive Leadership Team activities and will play a critical support role for different meetings across the business.
This isn’t your regular 9-5 - you will be responsible for the complete running of the CEO’s waking hours. You’ll be given all the puzzle pieces, and it will be up to you to work out how to fit them together to make sure the CEO is spending their time on the most important thing each and every day.
The scope of this role won’t be limited to traditional ‘work’ - there will be times when you’ll be heavily involved in assisting the CEO with ad hoc personal threads given the natural work/life overlap that comes with being a CEO.
Halter is a fast-paced environment and no two days are ever the same. We’re looking for an exceptional person – someone with initiative, professionalism, and slick organisational skills. You’ll be able to read the room, sense what’s going on and have super-human judgement skills. You’ll know when to push, and when to pull back. You will need strong prioritisation skills and the inherent ability to multi-task a busy CEO/Founder and workload.

What your day could look like

  • Predicting the needs of the CEO, making sure that they have the information and resources they need to prioritise, prepare and undertake their work threads in an informed way
  • Conserve the CEO’s time by acting as a shield for all enquiries, demonstrating educated judgment skills
  • Diary management that allows the CEO to undertake their responsibilities in a structured and planned way
  • Manage incoming emails on behalf of the CEO and respond or draft responses where appropriate
  • Assist in coordinating the agenda and minutes of Exec team meetings, as well as planning and executing regular team off-sites
  • When necessary, attending meetings on behalf of the CEO and reporting information back in a timely manner
  • Responsible for all CEO travel bookings and itinerary planning for all trips, domestic and international
  • Act as a multiplier of the CEO’s time by closely carrying the same context when possible
  • Keeping the Auckland office running smoothly - including supplies, facility maintenance, and most importantly the weekly snack order!

  • A team player with exceptional relationship-building skills (internal and external stakeholders), who is able to collaborate effectively across diverse teams and influence outcomes without formal authority.
  • A master of time management, a pro at ruthlessly prioritising tasks and orchestrating multiple workstreams in a fast-paced environment. Think juggling many balls at once and knowing what is most important at any given moment
  • Results-oriented with a hands-on approach, willing to dive into the trenches to ensure goals are met.
  • Bonus points if you’re a dog lover - we’re a dog-friendly office!
  • Demonstrates sound judgement, capable of making quality decisions amidst sometimes complex and ambiguous challenges.
  • Highly flexible and responsive to changing priorities, able to pivot seamlessly when circumstances demand.
  • Exceptional executive communication skills, adept at distilling complex information into clear and concise insights.
  • Someone who is ready to get stuck in and have fun while doing so
